Why a Written Cancellation Request Matters

When a dealer is stalling your verbal or in-person cancellation request, a written letter sent by certified mail creates a legally documented record with a specific date. This date becomes critical evidence if you later need to dispute the refund amount, file a complaint with your state's Department of Insurance, or escalate through other channels.

A written request also allows you to cancel directly with the VSC administrator — bypassing the dealer entirely, which is often faster. The administrator's contact information is in your vehicle service contract document.

When to Use a Cancellation Letter vs. Going In Person

In person is usually the fastest route for an initial cancellation request — especially if you're within the 30-day full-refund window and want to move quickly. A written letter is best in these situations:

  • The dealer has been stalling for more than 2–3 weeks
  • The dealer is far away and an in-person visit is impractical
  • You want to cancel directly with the administrator, not through the dealer
  • You want to create a formal paper trail for a potential regulatory complaint
  • The dealer claims they've already submitted the cancellation (this creates a documented challenge to that claim)

Where to Send the Letter

Send to both parties for maximum coverage:

  • The VSC administrator: The company whose name appears on your vehicle service contract. Their mailing address is in the contract document. This is the party that actually processes the refund.
  • The dealer's finance department: Addressed to the Finance Director or General Manager. Even if you're going directly to the administrator, putting the dealer on notice creates an additional record.

Always send via USPS Certified Mail with Return Receipt Requested (Form 3811). This gives you a receipt showing the date the letter was delivered and a signature from whoever received it. Keep the green card you get back — it's your proof of delivery.

What to Include in the Letter

Your letter should contain all of the following:

  • Your full legal name and current mailing address
  • Your phone number and email address
  • Date of the letter
  • Vehicle year, make, model, and VIN
  • VSC contract number (from your vehicle service contract document)
  • Original purchase date of the VSC
  • Current odometer reading
  • A clear, explicit statement that you are canceling the vehicle service contract
  • The reason for cancellation (optional but helpful: e.g., "voluntary cancellation," "early loan payoff," "vehicle sold," "total loss")
  • A request for written confirmation that the cancellation was processed
  • A request for the refund amount and timeline
  • If financed: confirmation of where the refund should be directed (your lender's name and loan account number)

What to Do After Sending

  • Keep a copy of the letter and your certified mail receipt in the same folder as your VSC document.
  • When your green return-receipt card arrives (usually 2–5 days after delivery), file it with the letter. This is your proof of delivery.
  • If you don't receive written confirmation within 30 days, send a follow-up letter referencing your original certified mail tracking number.
  • If 60 days pass with no refund and no confirmation, you have grounds for a formal complaint with your state's Department of Insurance. Most states require administrators to process cancellations within 30–60 days of the request.

Sending Electronically Instead

Email works too if the administrator provides an email address for cancellation requests. Use the same letter text and attach any supporting documents as PDFs. Request a read-receipt in your email client, and keep the sent copy in a folder. Note: certified mail is harder to ignore or "lose" than email, so it's the preferred method for escalated or disputed cancellations.
