What Is a Prepaid Maintenance Plan?

A prepaid maintenance plan — also called a prepaid service plan, maintenance agreement, or scheduled maintenance contract — is a dealer add-on product that covers routine vehicle maintenance for a set number of visits or a fixed term. Typical plans include oil changes, tire rotations, multi-point inspections, cabin air filter replacements, and similar services.

These plans are sold at the dealership during the finance signing process and rolled into the auto loan. Prices vary widely — from $300 for a basic 3-oil-change plan to $1,500+ for a comprehensive 5-year / unlimited-visit plan on a luxury vehicle.

They're popular with dealers because the markup is substantial and buyers often forget to use all their included services. They're also one of the most straightforward products to cancel for a refund.

When Can You Get a Refund?

You're entitled to a refund on unused prepaid maintenance visits or unused contract term whenever:

  • You traded in or sold the vehicle. The plan is tied to your vehicle and doesn't transfer automatically. Any remaining visits or term is refundable.
  • The vehicle was totaled. Immediately cancel all add-ons after a total loss. Maintenance plans are fully refundable for all unused services.
  • You moved away from the dealer network. Many plans only allow service at the selling dealer's locations. If you've moved or no longer have convenient access, unused visits have real value you can reclaim.
  • You paid off the loan early. Some plans are tied to the loan term, making them refundable upon early payoff even if you still own the vehicle.
  • You purchased the plan and changed your mind. Most plans have a 30–90 day full-refund window immediately after purchase if no services have been used.

How Refunds Are Calculated

Prepaid maintenance refunds use one of two methods:

  • Per-visit (usage-based). The most common method for visit-count plans. The refund equals the number of unused visits divided by total visits, multiplied by the original premium. Example: you paid $600 for a 10-visit plan and used 4 visits. 6 unused ÷ 10 total = 60% of $600 = $360 gross refund, minus any cancellation fee.
  • Pro-rata by time. Used for term-based plans. If you paid $800 for a 48-month plan and cancel after 18 months, 30 months (62.5%) of the term remains — your gross refund is $500.

Most plans charge a cancellation fee of $50–$75. Some states cap these fees. Net of fees, refunds typically run $150–$900 depending on how much of the plan is unused.

How to Find Out What Plan You Have

Start with your retail installment contract (RIC) — the main financing document from your purchase. Look in the itemized section for line items with names like:

  • Prepaid Maintenance
  • Scheduled Maintenance Plan
  • Maintenance Agreement
  • Oil Change Package
  • Service Contract (for routine maintenance, not mechanical)
  • Dealer Maintenance Plan

Once you find the line item, locate the separate plan certificate or agreement. This document shows the administrator name, plan number, number of covered services, any geographic restrictions (dealer network only vs. any licensed shop), and the cancellation terms.

If you don't have your original paperwork, call the dealer's service or finance department and ask them to look up your maintenance plan by name and VIN.

OEM Plans vs. Third-Party Plans

There are two main types of prepaid maintenance plans, and the cancellation process differs:

OEM-Backed Plans

These are plans branded and backed by the vehicle manufacturer — Toyota's ToyotaCare Plus, Ford's Ford Protect Prepaid Maintenance, BMW's Ultimate Care+, and similar. They're usually redeemable at any authorized dealer in the network and often have better geographic flexibility.

To cancel an OEM plan: contact the manufacturer's customer service or warranty department directly. Have your VIN, plan number, and purchase documentation ready. These plans are generally straightforward to cancel with a pro-rated refund.

Third-Party Dealer Plans

These are sold by the dealer but administered by a third-party company. They often restrict service to the selling dealer's locations (or a specific dealer group). Common third-party administrators include EasyCare, Dealer Socket, Portfolio, American Guardian, and many regional administrators.

The plan certificate will show the administrator name and contact information. Contact them directly to request cancellation and a refund.

Step-by-Step: How to Cancel Your Prepaid Maintenance Plan

  • Step 1 — Count your unused services. Check any service records, receipts, or the plan's visit tracking app to determine how many covered services you've used. This is the key number for calculating your refund.
  • Step 2 — Find the administrator. Check your maintenance plan certificate or call the dealer for the administrator name and contact number.
  • Step 3 — Call and request cancellation. Call the administrator's customer service line and state that you'd like to cancel your prepaid maintenance plan and receive a pro-rated refund for unused visits or term.
  • Step 4 — Submit a written request. Most administrators require a written cancellation. Send a letter or email with: your name, VIN, plan number, purchase date, number of services used, and reason for cancellation. Attach copies of your purchase documents.
  • Step 5 — Include proof of triggering event. If you sold/traded the car, include the bill of sale or trade-in paperwork. If the car was totaled, include the insurance settlement letter. If it was a voluntary cancellation, no additional proof is needed.
  • Step 6 — Wait 4–8 weeks. Confirm where the refund will be sent — if your loan is still active, it may reduce your balance rather than come to you as a check.

Special Situations

You've Already Used Some Services

Using some of your covered services doesn't disqualify you from a refund on the unused portion — that's exactly what pro-rata refunds are designed for. In fact, if you've used the plan heavily, you may find the refund is relatively small, but it's still worth claiming.

The Plan Was "Free" or Bundled with the Vehicle

Some manufacturers include complimentary maintenance for the first 2–3 years (Toyota ToyotaCare, BMW Ultimate Care, Hyundai Complimentary Maintenance). These are typically not refundable because you didn't pay for them. However, if you paid to extend that plan beyond the complimentary period, the paid extension is refundable.

The Dealer Says You Can't Cancel

This is rare but happens. If the dealer claims your plan isn't cancellable, go directly to the plan administrator — the dealer is not the decision-maker. If the administrator also refuses and you believe you have a valid claim, file a complaint with your state's Department of Insurance or Attorney General's consumer protection office.
